Getting Started
If you are new to the portal, start with these steps:
- Complete your Profile so your contact and household information is up to date.
- Add each of your pets on the Pets page.
- Go to the Schedule page to request services.
- Add trip details on the Trip/Travel Information tab when needed.
New Client Registration
To access the schedule, request services, and use other features offered by Woofies Reston-Herndon, you must first register for a client account. If you received an invitation, use the Invitation Code during registration so your new login is linked to your existing profile.
With an Invitation Code: Woofies Reston-Herndon may create your Profile before you register. If so, you will receive an "Account Invitation" email with a link to the Account Registration page and your Invitation Code. On that page, choose a password and enter the Invitation Code to create a login connected to your existing profile.
Policy Agreement: During registration, you may be asked to read and agree to policies set by Woofies Reston-Herndon. By creating your account you confirm that you accept these policies. If the policies are updated later, you may be asked to accept them again the next time you login.
Logging In
If you have already registered, use the login page to login. Enter your email address and password.
Password Reset: To reset your password, click the Forgot Password link and enter the email address associated with your account. A temporary password will be emailed to you. If you are not receiving password reset emails, add "woofiesrestonherndon@preciseemail.net" to your Safe Senders list.
Updating Your Information
Profile: You may see a notification asking you to complete your "Profile" before requesting services. Go to the Profile page and fill out the form with the requested information. The more complete your Profile is, the better prepared your pet sitter/groomer will be to provide services.
When you are finished, click to update your information.
Account: The Account page controls your login information. There, you can update the password and email address you use to login. To update the email address that receives portal emails, use the Profile page instead.
Adding and Updating Pets
After completing the "Profile" form, the next step is to add your pet(s) on the Pets page. There, you can create a detailed profile for each pet, including care instructions and other important information. You may also upload a photo to your pet's profile.
Click to save the new profile.
You can update your pet information at any time by going to the Pets page, selecting the pet you want to update, and clicking .
Requesting Services (Schedule)
To request services, go to the Schedule page and click . Enter the dates for your request and choose how often the service should repeat. If you want ongoing service without an end date, check "Ongoing (no end date)."
- Daily: Service will be requested for every day in the selected date range.
- Weekly: Service will be requested only on the selected days of the week within the selected date range.
You can also choose less common patterns under "More Options."
- Every Other Day: Service will be requested every other day within the selected date range.
- Every Other Week: Service will be requested on selected days every other week.
- Every #th Week: Service will be requested on selected days every set number of weeks.
- Irregular: Select any combination of days on the calendar in a single request. This is useful if your schedule changes from week to week or if you only need service occasionally.
If all of your pets will be receiving care, select "All Pets." If the service is for one specific pet, choose that pet from the list.
If you need more than one service on the same day, click and enter the additional service details. You can also include any extra information in the "Notes" box.
When you are finished, click . You can view your schedule at any time on the Schedule page.
Status Colors: On the Schedule page, click "Colors" to view the key for each service status.
Making Changes: Select the services you want to change, then click "Change" in the action bar. Make your updates on the Bulk Edit screen, then click "Save or Request Changes." Services in Requested status are changed immediately. Other services must be reviewed and confirmed by Woofies Reston-Herndon. To cancel accepted services, read the instructions here.
Trip/Travel Information
The Trip/Travel Information section helps you keep your travel details in one place so Woofies Reston-Herndon can better coordinate services during your trip.
You can add trip information while requesting service on the Schedule page, or directly on the Trip/Travel Information tab. Adding a trip on that tab will not add service.
To update your trip information, click the icon, make your changes, and click .
To cancel a trip, click the icon, change the trip status to "Canceled," and click . You will also have the option to request cancellation of services during that trip.
After you return, use the "Home Safe?" button on your journals or the in-portal notification to mark the trip as concluded.
Service Notes
On the Schedule page, you can add extra information to upcoming services using service notes.
- Select the service(s), then click in the top green bar.
- Enter your note, then click .
- The note will appear on the Schedule calendar, and Woofies Reston-Herndon will receive an email notification.
- Your pet sitter/groomer can view the notes you add.
Pet Care Journals
With the Pet Care Journal feature, your pet sitter/groomer can send you a summary of each service with your pets, including details such as arrival time, departure time, poop, pee, meals served - as well as more in-depth notes on the service and even fun photos of your pet. When a journal is created for a service, you will receive a notification email with a link to view it.
Canceling Services
If you need to cancel an upcoming service, you can request a cancellation from the Schedule page. Please note that cancellations cannot be requested on the day of service.
- To request a cancellation, select the service(s), then click in the top green bar. In the pop-up window, you can add a note explaining the cancellation. Click to submit it.
- If a service is still in Requested status, it will be removed immediately. Otherwise, the cancellation request will be sent to Woofies Reston-Herndon for review and approval.
Service Emails
You will receive "Service Confirmation" and "Service Cancellation" emails to help keep you up to date on upcoming services without needing to access the schedule. These emails are sent daily and include services confirmed or canceled in the previous 24 hours. You will receive no more than one confirmation email and one cancellation email per day. Each service is only confirmed once.
If you are not receiving these emails, add "woofiesrestonherndon@preciseemail.net" to your Safe Senders list.
Paying Invoices Online
You can pay your invoices online using the Pay Now page.
- You can also pay invoices directly from the invoice. Use the button at the bottom of an invoice to open the payments page. From there, you can pay multiple invoices at once, make partial payments, and add gratuity.
